Email Automation

Run procurement approvals with Google Sheets, Gmail, Google Docs, and Slack

When a form is submitted, it handles email using Gmail, Google Docs, Google Sheets, Slack.

What it does

## Procurement Approval Workflow Purchase requests often get lost in email threads. This workflow gives teams a clear approval pipeline with a form, automatic policy checks, multi-level routing, purchase orders, and a full audit trail in Google Sheets. ### How it works A native n8n form collects each request and validation stops bad data early. The workflow checks the preferred vendor list, department budget, and recent requests for duplicates. Small clean requests under the auto-approve limit are approved instantly and get a Purchase Order document. Larger or flagged requests move through manager, finance, and CEO approval by amount. Approvers decide through email links, the decision webhook records each step, and rejected requesters are notified with the outcome. ### Setup 1. Connect Google Sheets, Google Docs, Gmail, and Slack credentials in n8n. 2. Prepare Sheets for vendors, budgets, and the audit log, then add their IDs to Workflow Configuration. 3. Set approval limits and the L1, L2, and L3 approver emails in Workflow Configuration. 4. Set the Drive folder for purchase orders and the Slack channel for team notifications. 5. Caution: approval links are secrets, do not forward them; timeout escalation is not built in, add a scheduled pending check if needed. 6. Publish the form, submit a test request, and check the audit log. ### Customization Adjust limits, approvers, and policy sheets in Workflow Configuration to match your policy.
