Calendar & Scheduling

Book, cancel, and reschedule WhatsApp appointments with Google Calendar and Sheets

When something happens in a connected app, it manages calendar events using Google Calendar, Google Sheets, WhatsApp.

What it does

## Book, cancel and reschedule appointments on WhatsApp with Google Calendar and Sheets ### How it works 1. The customer messages your WhatsApp Business number and replies 1 Book, 2 My appointments, 3 Cancel or 4 Reschedule. 2. The bot collects name, mobile, date and time, then checks opening hours and Google Calendar. 3. A free slot becomes a calendar event, and a taken slot gets alternative times. 4. Customers only see and change appointments linked to their own WhatsApp number. 5. Every booking, cancellation and reschedule is logged in Google Sheets. ### Setup steps - [ ] Create a Meta WhatsApp Business Cloud app and add its credentials to When WhatsApp Message Received and every WhatsApp node. - [ ] Connect your Google Calendar and Google Sheets credentials. - [ ] In your Google Sheet, create a tab named Appointments with this header row: S.NO, Timestamp, Booking ID, Status, Name, Mobile/Contact No., Start, End, Start ISO, End ISO, Calendar Event ID, WhatsApp Chat ID, Action. - [ ] Open Configure Appointment Settings and enter your calendar ID, sheet ID, timezone, opening hours and appointment length. - [ ] Publish the workflow (n8n must be reachable over HTTPS) and send /start to your number. Test on the published workflow, not manual runs. ### Customization Change hours, appointment length and break time in Configure Appointment Settings. Chat sessions use workflow static data, so run a single-worker n8n. There is no slot locking, so two simultaneous requests for one slot can double-book.
